  • Can I view Lookahead Plan in mobile cell phone

    Project planning is challenging, complex and iterative.  Mobile/ cell phones with smaller displays do not allow users to see information over a longer timeline period.

    WenPlan has been developed for desktop users with display monitors 15″ / 22″ and will not work well with smaller display screens.

  • Do I need to download any software or install any hardware?

    WenPlan is a web-based applications that does not require installation onto a special computer server or individual machines. WenPlan hosts and manages software, so no involvement is needed by your company’s IT staff.

  • How do I get software updates, are they free?

    WenPlan is a cloud-based software.  Updates and upgrades are provided automatically for free.

Free Trial

  • What does the free trial include?

    The free trial includes all core features of Professional License. Contact us to learn more about these features.

  • What are payment options?

    Currently all subscriptions must be paid via credit card.

  • What happens at the end of the free trial?

    At the end of 30 days, you’ll be prompted to upgrade to one of our paid plans. There’s no action required if you wish to cancel.  You can continue to login and use WenPlan as a Guest User.  At any time, you can upgrade your account.

  • Can I impose a deadline to a Tasks?

    Yes you can add a deadline and track any Task delay with a Interactive easy-to-read color coded task status (red-Yellow-Green)

Directory

  • Is my subcontractor contact list secure?

    Your subcontractor contact list is secure.  Here is how we are addressing it

    1. Data is stored in AWS datacenter (Ohio) and is secured using SSL encryption technology.
    2. Companywide directory is not available to anyone.
    3. Access to company and user information is available only to the User who created it.
    4. Users from within the company (and outside) cannot access fellow employees contacts.
    5. Users from other companies cannot see your subcontractor company names and contacts list.
    6. User do not have access to project information until they are invited to the project. Based on permissions, User can view project team member information.
    7. Access to WenPlan require user password.
  • Who has access to company directory?

    Companies and Users added by company employees employees is not accessible company wide.

    Users do not have access to the company wide directory of subcontractor names and contacts list.  Users from other companies cannot see your subcontractor company names and contacts list.

    Access to company and user information is available to the User who created it. Users from within the company (and outside) cannot access fellow employees contacts.

  • Who can view project team member information?

    User do not have access to project information until they are invited to the project.  Based on permissions, User can view project team member information.

  • Is it required to add companies to directory?

    It is not required to add Companies to the directory.  New companies are added when new users are added.  “Add User” allows the addition of User (name, email and company name) in one location.

    Adding companies to the company directory allows a User to develop a Lookahead plan without inviting team members to the project.  When a company is added to a project, the company name will be available in the task responsibility drop down list.

    You can choose to add company name and assign tasks to company when

    • project is in initial planning phase.
    • do not have a company contact (name, email).
    • choose not to invite a company user to the project.
    • subcontractor contractor agreements is not in place.
    • subcontractors are unwilling to login to WenPlan

    Users can be invited to the project at a later time if needed.

  • Is it required to add Users to develop a Lookahead plan?

    It is not required to add Users to develop a Lookahead plan.  You can choose to add company name and assign tasks to company when

    • project is in initial planning phase.
    • do not have a company contact (name, email).
    • choose not to invite a company user to the project.

  • Is there a contact storage limit?

    WenPlan allows Users to store unlimited number of contacts.

  • Can I bulk Upload existing company data ?

    At this time, we do not allow bulk upload of company data.

  • Is there a company directory?

    Users do not have access to a Company Directory.  User have access to the Companies and User that they previously added.

Display

  • Can I see change display colors?

    At this time, we cannot change display colors.

  • Is there version control?

    There is no version control.  We recommend you refer to local copies.

  • Do Users need to save changes made?

    WenPlan provides warning if any data is not saved.  Autosave feature is not available for Gantt view updates.

Projects

  • Who can create new Projects?

    Users with active license can create/maintain 5 active projects.

  • Can I make a Project inactive?

    At this time, this feature is not available.

  • Is there a limitation on number of projects?

    Guest, Basic and Professional Users can be invited to unlimited projects.  Guest Users can view projects. Basic Users can view, edit Task and print Lookahead Plan. Basic and Professional Users can create 10 projects per Licensed User. Professional User can invite team members.

  • How do I create a project?

    Link to Create a Project video.  To add a project, click add a project from the Projects page in the upper right. The first thing you’ll do is give your project a name and click save.  It is optional to add Project description, project estimated start and finish dates and project location.  You have the option to reset any data you just entered.  When you are satisfied with your new Project information, click on the Save button.  You will see a pop-up stating “Task Inserted”.

  • As guest User can I access projects ?

    Yes.  As a Guest user, you can be invited to unlimited projects and you can view project information as Observer

Integration

  • Can I export Tasks to Microsoft Excel?

    Yes.  Week Work Plan tasks in WenPlan can be exported to Excel.  You can import this weekly work plan excel file with task title, task status, task responsibility, trade, start date, task notes into a software of your choice.

  • Can I Import Tasks into PlanGrid?

    Yes.  Week Work Plan tasks in WenPlan can be exported to Excel and this excel file with Task information can be  imported into PlanGrid.  You can export task title, task status, task responsibility, trade, start date, task notes and other.

     

  • Does WenPlan integrate with Primavera?

    Week Work Plan tasks in WenPlan can be exported to Excel.  You can import this weekly work plan excel file with task title, task status, task responsibility, trade, start date, task notes into Primavera.

  • Does WenPlan integrate with Procore?

    Week Work Plan tasks in WenPlan can be exported to Excel.  You can import this weekly work plan excel file with task title, task status, task responsibility, trade, start date, task notes into Procore.

  • Does WenPlan integrate with MS Project?

    Week Work Plan tasks in WenPlan can be exported to Excel.  You can import this weekly work plan excel file with task title, task status, task responsibility, trade, start date, task notes into MS Project.

Timeline

  • Can I add future project tasks beyond the 4 week lookahead period?

    Yes.  Setting the timeline anchor to a future date allows you to view, edit or add future tasks.

     

  • Can I view future tasks?

    Yes. Setting the timeline anchor to a future date allows you to view and plan upcoming future tasks.

  • Can I view tasks in the past?

    Yes.  Setting the timeline anchor to a past date allows you to view retrospective tasks.

  • Can I change the timeline scale?

    Timeline scale cannot be adjusted to weeks, months or quarters.  The timeline scale is fixed at four weeks and is in days.

  • What is an anchor date?

    The anchor date is a placeholder date that positions (or anchors) the start date of the timeline.  Setting the timeline anchor to a past date allows you to view retrospective tasks.  Setting the timeline anchor to a future date allows you to view and plan upcoming future tasks.

  • Can I change the timeline anchor date

    Yes.  Click calendar Icon beside timeline anchor date and select a specific date in the past or future to set the timeline anchor.

    The anchor date is a placeholder date that positions (or anchors) the start date of the timeline.  Setting the timeline anchor to a past date allows you to view retrospective tasks.  Setting the timeline anchor to a future date allows you to view and plan upcoming future tasks.

     

  • Why is the Anchor date fixed for Lookahead submission?

    For weekly Lookahead submissions, the anchor date is the upcoming Sunday which is the start date of the timeline.  The Lookahead plan submitted will show the upcoming four-week tasks.

    Anchor date introduces consistency and standardization into your repetitive planning period.

Tasks

  • Can I add Weekend work activity

    Yes you can show any special weekend work.

    1. In project Plan configuration, unclick the Saturday or Sunday Non-Work day. This will change the weekend shading.
    2. User can now add work activity to Saturday or Sunday.
    3. User reselect the Non-Work days to reset the weekend shading.
    4. Now Users can view the weekend work. In addition the Saturday / Sunday Non-Work day is shaded.
    5. The weekend work is shown in the Lookahead PDF.
  • How do I show task activity?

    To show task activity for a specific date, User selects the task, a date and enters either “X” to a number between 1 and 9.

  • How do I create a task?

    See Add a Task video.  To create a task, click on the Plus (+) sign beside Task description.  Enter Task description, select a responsibility.  It is optional to add additional task information.  You can identify work days of activity.  To show activity, you can click on the individual dates or select a date and drag to the right or left to autofill dates of activity. When you are satisfied with your new Task information, click on the Save button.  You will see a Pop-up stating “Task Inserted”

  • How do I create a sub-task?

    See Video Create Task.  To create a sub-task of another task, click on the Plus (+) sign beside the particular task.

    You can now enter Task description, select a responsibility.  It is optional to add additional task information such as Task Type and Trade Type.  You can identify work days of activity.  To show activity, you can click on the individual dates or select a date and drag to the right or left to autofill dates of activity.

    When you are satisfied with your new sub-Task information, click on the Save button.  You will see a Pop-up stating “Task Inserted”

  • Is Task description mandatory
    When user adds a task, Task description is mandatory.
  • Can I see what changes were made by Subcontractor this week?

    This feature is not available at this time.

  • Can Subcontractors see Other Company Tasks?
    Subcontractors can only see their company Tasks.  
  • Can I upload tasks from Primavera?

    Upload tasks from Primavera is not available at this time.

  • Can I limit Task durations to be no greater than 20 days?

    At this time, this is not available.

  • Can I upload tasks from MS project Schedule?

    Upload tasks from MS Project is not available at this time.

  • Can I add/update task estimated finish and required finish date?

    Task estimated Finish date or required Finish date is not available at this time.

  • Can I add all project tasks at the beginning of project?

    Yes.  You can add all project task at the beginning of the project.

  • Can I control text visibility in the Task Description column?

    At this time, Task description column width is fixed.

  • How do I show Task dependencies Finish to Start etc?

    WenPlan does not allow Task dependencies.  The intent is for the team to coordinate and plan tasks based on tasks, access to area, weather, availability of information, equipment, resources, tools and material.

Permission

  • Can we set Subcontractor permissions to No updates?

    Yes.  You can provide View only permissions to Subcontractor.

  • What are the available permissions?

    Permissions available include

    1. Project Admin
    2. General Contractor-Manager
    3. General Contractor-Observer
    4. Subcontractor-Manager
    5. Subcontractor-Observer
    6. Owner-Observer

    Company Roles include

    1. General Contractor
    2. Owner
    3. Subcontractor

    Permission Overview

    1. General Contractor team members can view or edit (based on permission) project tasks ca submit/email Lookahead(PDF) to Owner.
    2. Subcontractor can view or edit (based on permission) their company tasks and can submit/email Lookahead (PDF) to GC
    3. Owner can view project tasks

License

  • Can I switch plans?

    You can switch License (Basic vs. professional, Monthly vs. annual) by
    1. request User to take back (deactivate) your current license.
    2. request User to provide an available License to you.

  • License Purchase

    Users pay with credit card. Any WenPlan user, during or after Trial period, can purchase license by choosing monthly or annual plan.  User can purchase additional licenses any time and choose to provide to other users.

  • Can I change billing frequency?

    Users cannot switch plans (monthly, Annual or Guest) in the middle of the billing period.

  • Refund

    There are no refunds.   Users cannot switch plans (monthly, Annual or Guest) in the middle of the billing period.

  • User license expiry

    User License expiry dates may be different based on when licenses was purchase.

    Renew

    User can renew before, on the day or after their license expiry date.

  • Who can buy WenPlan license?

    Licensed are purchased by users.  A company can designated one or more designated License Managers who can buy bulk Licenses.  License Managers will own the transfer and can assign a License to individual users.

    License Managers can assign License to individual users with the company or to employees of subcontractor or owner.

    License Managers can take back a License that they had previously assigned to a user.

  • How do I renew WenPlan my License?
    You can choose to sign-up for auto-renew when purchasing a license.  Alternatively, you can sign into Wenplan and renew the license.
  • Who can purchase WenPlan License?

    Any WenPlan registered User can Purchase a WenPlan License.

    User could be part of any Organization (Owner, General Contractor, Subcontractor or Other).

    User without a License can purchase new Licenses.

    User with a License can purchase additional Licenses.

  • How do I purchase WenPlan License?

    I love WenPlan, how do I go ahead and buy it?

    There are three get ways to get started with a paid subscription!

    Users can purchase licenses for 12 month period.  Users can purchase additional license any time.  All licensed owned by a User will have the same expiry date.

  • Who owns the Licenses?

    Licenses are owned by individual (user email Id) and is not associated with the Company.  When User leaves company (email id changes), User continues to own the licenses.  User cannot transfer License ownership.

  • Can General Contractor provide a License to the subcontractor?

    Yes General Contractor can provide an available License to the Subcontractor.

  • Can I provide License to anyone?

    User can provide License to user who

    • does not have an active license (even if user has unused purchased licenses)
    • Works for another company.
    • Has a Trial License.
  • Can I change number of Licenses at renewal?

    User can renew all current licenses or all distributed licenses.  User can purchase additional licenses at renewal.  If user chooses to renew less than current distributed licenses, user should deactivate license and renew all current distributed licenses

  • Can I take back a License I provided earlier?

    Yes.  In the License management screen, User can take back (deactivate) a license provided earlier by User.

  • Can I give back a License I was provided earlier?

    No.  User who has been provided a license cannot give back license (has to request provider to take back license)

  • Will I lose access to Project when my License expires?

    No.  You will continue to have access to your project.  However, you will permissions will change to View Only.

  • What happens to my license when my email id Changes?

    There is no changes to License status when user email id changes.

Lookahead

  • Lookahead by one person (Basic License)

    You may choose not to invite subcontractor team members to the project and develop Lookahead by yourself. Instead you can add subcontractor company name and assign tasks to subcontractor when

    • project is in pre-construction planning phase.
    • choose not to invite a team member to the project.
    • do not have a subcontractor company contact (name, email).
    • subcontractor or Owner is unwilling to login to WenPlan.
    • subcontractor contractor agreements is not in place.

    Adding companies to the directory allows a User to develop a Lookahead plan and assign tasks to subcontractors without inviting subcontractor team member to the project.  When a subcontractor company is added to a project, you will be able to assign tasks to the subcontractor without having to invite subcontractor team member to the project.

    Users can be invited to the project at a later time if required.

  • Lookahead by project team (Professional License)

    When you add and invite subcontractor team members, you can assign tasks to subcontractor companies and share Lookahead plan. In addition, General Contractor can assign Sub-Manager permissions to allow subcontractor to edit, update and submit Lookahead plans to General Contractor.

    Subcontractors assigned Sub-Observer permissions can only view their company tasks.

  • Who receives Subcontractor Lookahead submission?

    When Subcontractor submits Lookahead plan, an email with PDF Lookahead plan is sent to General Contractor managers with Project Admin and GC-Manager permissions.

  • Who receives General Contractor Lookahead submission?

    When General Contractor submits Lookahead plan, email with PDF Lookahead attachment is sent to Team Members (Owner) with Owner Permissions.

  • Can User choose to receive to not receive Lookahead Plan submissions?

    At this time, Users cannot choose to receive or not receive Lookahead submission.

  • What timeline is shown for submitted Lookahead plan?

    Lookahead Plans submitted shows tasks for the upcoming four-week period.  Lookahead submitted Monday through Saturday shows four-week tasks starting the upcoming Sunday.  Lookahead submitted on Sunday shows four-week tasks starting the following Sunday.

  • What timeline is shown for email/PDF export?

    Lookahead plan PDF export or that that are emailed shows the timeline that is currently in view.  The tasks you see on screen is exported in PDF format or is emailed.

  • Can I retrieve Lookahead submission emails sent by WenPlan?

    Lookahead report submitted is saved in WenPlan server.  However, at this time, project emails sent by WenPlan cannot be retrieved by the user.

    To archive Lookahead submitted, we recommend General Contractors to set-up a project  email to receive Lookahead submission.

  • Can I print or email Lookahead for previous weeks?

    By selecting a desired date, Users can view Lookahead plan, download Lookahead Plan in PDF format or email Lookahead plan to project team members..

  • Can I print or email Lookahead for future weeks?

    By selecting a desired anchor date in the past or future, Users can view Lookahead plan, download PDF and can email Tasks to project team members.  Lookahead Plan will show Tasks for the 4 week timeline selected.

  • Can General Contractor control which subcontractor can submit Lookahead plans?

    Yes.  General Contractor can assign Sub-Manager permissions to allow subcontractor to submit Lookahead plans.  Subcontractors assigned Sub-Observer permissions will not have permission to update task or submit Lookahead Plans.

  • Can General Contractor upload logo and customize report?

    No.  At this time, logo upload is not available.  Users cannot customize the report.

  • Can Subcontractor upload logo and customize report?

    No.  At this time, logo upload is not available.  Users cannot customize Lookahead report.

  • Can I submit Lookahead for previous weeks?

    NO.  Users can only submit LookAhead Plan for the upcoming four weeks (next week and the following three weeks).  However, Users have the option to view the Task for the desired timeline and download or email the LookAhead plan.

  • Can I submit Lookahead for future weeks?

    User can only submit Lookahead plan for the upcoming four weeks (next week and the following three weeks).

  • Can I Print A4 paper size?

    The Lookahead Plan is configured to print in commonly used Letter (US) size 215.9 mm x 279.4 mm (or 8.5 inches x 11 inches).  In the future, Lookahead PDF will be available in A4 size paper which is 210 mm x 297 mm (8.26 inches x 11.69 inches).

  • Is Lookahead report available in color?

    Lookahead report is available in Black and White at this time.

Notification

  • Can I get Notification for delayed tasks?
    At this time, Notification for delayed Tasks is not available in WenPlan.

Resources

  • Is resource planning available?

    Resource planning is not available at this time.   User can enter either “X” to show task activity for any day or can enter a number between 1 and 9.  At this time, Owners (with project access) will view the same information entered by the User.

  • Can I see Manpower projections?

    At this time, this feature is not available.

Security

  • Is my credit card data secure

    Credit card payment information or customer data from these transactions is not stored on our servers.  It is processed using best-in-class security tools and safety practices that maintain stringent level of certification available in the payments industry.

  • Is my data safe?

    WenPlan servers are located in secure facilities.  WenPlan employs SSL encryption technology.  Access to WenPlan require user password.

    Accessing your Data requires a user to have a WenPlan account and be invited with permission to view and/or modify your Data by an authorized user.

  • Where is my data stored

    All WenPlan data is stored in the US (AWS datacenter).  See AWS cloud security

    WenPlan has Secure Sockets Layers (SSL) encryption technology to safely deliver your data through the Internet.

  • Are there any data storage restrictions?

    Data storage capacity should not be an issue for projects unless it is an exceptionally large construction project.
